No. 01
Lead Response

The 60-second missed call.

Trigger: any inbound call you don't pick up. Fires within 60 seconds.

Hey {{first_name}} — sorry I missed your call. This is {{your_name}} from {{company}}. What's the best way to help — a quote, a question, or scheduling? Reply here, easier than phone tag.
Why it works

Sub-60-second responses convert leads ~4× higher than 1-hour responses. The three-option close removes "what do I even say" friction. No "we'll get back to you" — that's a void.

No. 02
Booking

The 24-hour confirm.

Trigger: 24 hours before any booked appointment.

Hi {{first_name}} — quick reminder: we're on for {{service}} tomorrow at {{time}}, {{address}}. Reply Y to confirm, R to reschedule. If something's come up, give me a heads up — I block this slot just for you.
Why it works

Y/R is one-tap. "I block this slot just for you" reframes a no-show as costing the relationship, not just your time. Cuts no-show rates roughly in half.

No. 03
Booking

The grace-period no-show.

Trigger: 15 minutes after appointment start time, if no-show.

Hi {{first_name}} — running late or did something come up? I want to make sure we get you taken care of. Reply here and I'll figure out the next slot that works.
Why it works

Doesn't accuse, doesn't shame. Most no-shows aren't malicious — they're embarrassed. This gives them a face-saving way to rebook instead of ghosting.

No. 04
Sales

The two-step quote chase.

Trigger: 3 days after estimate sent, then 7 days after if still cold.

Day 3
Hi {{first_name}} — circling back on the {{service}} estimate I sent. Any questions, or want me to walk through it? Happy to adjust scope if anything was off.
Day 7
Last check on the {{service}} quote — should I park this on the back burner, or are we still moving forward? Either's fine, just don't want it falling through cracks.
Why it works

Day 3 is helpful, Day 7 is a clean takeaway. "Park it" gives them permission to say no — which paradoxically makes them more likely to say yes. Pulling away beats pushing.

No. 05
Reviews

The same-day review ask.

Trigger: 2 hours after job marked complete. Never the next day.

Hey {{first_name}} — hope everything's looking great. If you have 30 seconds, would you mind dropping a quick Google review? Huge for a small business like ours, and it tells me what we got right (or didn't). {{review_link}} Either way, thanks for trusting me with this one.
Why it works

Same-day asks pull 3–4× more reviews than next-day. "30 seconds" sets effort expectation. "What we got right (or didn't)" makes it feel honest — and gives unhappy clients a private channel before they go public.

No. 06
Reactivation

The dead-lead resurrection.

Trigger: 60+ days since any contact with a past prospect or client.

Hi {{first_name}} — wasn't sure if you went a different direction on {{service}} or if life just got busy. No pressure either way. Just keeping the door open in case you're still looking.
Why it works

Permission-based. No guilt. Removes the awkwardness of "where have you been?" Most dead leads aren't dead — they're embarrassed. This brings 8–15% back from the grave.
